RWA Checklist: How to Choose a Visitor Management System

RWAs shortlist visitor apps the same way every year: a few demos, a WhatsApp poll, and a confusing price discussion. Use this RWA checklist to choose a visitor management system with clearer criteria.

1. Does visitor data go through security?

Ask vendors who types visitor details and who sees them first. With GuestRAR, guests enter data on their phone and hosts receive the request directly. Security validates the QR pass. Your data does not need to pass from security to host. That is faster and safer.

2. Can hosts approve from mobile?

If residents still need a phone call for every guest, you only digitized the register — you did not fix the process. Allow / Decline on mobile is non-negotiable.

Give each vendor 1–5 on: QR privacy model, host mobile approval, public pricing, NDA, ad-free app, training simplicity, and growth path (MyQR / Enterprise / Hospital). The highest total is usually the honest shortlist — not the loudest sales deck.

If a vendor refuses public pricing and refuses an NDA conversation, treat that as a signal.
